QUICKBOOKS SYNCHRONIZATION OF DATA
SMSTurbo Customers, Vendors and Materials to QuickBooks
These interchange rules must be followed:
SMSTurbo Customer IDs must match EXACTLY the Customer Account Numbers in the QB customer file.
SMSTurbo Customer Names must match EXACTLY the Customer Names in the QB customer file.
SMSTurbo Material IDs must match EXACTLY the Item List Name in QB.
If you have existing Customer Accounts in QB and you wish to copy them over to SMSTurbo, you should do some housekeeping first. In QB, go to reports, customers & receivables, transaction list by customer. You will have to determine your ACTIVE customer database. You will only want to bring over current customers. To make a QB Customer Inactive, go to Edit Customer screen, lower left corner and check off “customer is inactive”. Ensure the customer data is complete and accurate (addresses, telephone numbers, contact names, etc.) You will need to go into the QB Customer Payment Settings and assign Account Numbers which will become Customer ID in SMSTurbo. Customer IDs in SMSTurbo have a maximum of 15 characters, valid characters are A-Z, 0-9, dash and underscore. No spaces allowed.
If you have existing Customers in SMSTurbo and you wish to copy them over to QuickBooks, You may want to run a Customer Usage report. To determine the From Date, you may only want to bring over Customers from SMSTurbo to QuickBooks with activity for the past two years, as an example. You may want to make Customers inactive in SMSTurbo by going into the Customer and changing his Credit Status to INACTIVE.
Make sure you have the correct QuickBooks’ company opened. If QuickBooks is set up with Users and Passwords, the User logged in to perform Synchronizing must have proper authorization. If access is denied, the User’s authority level will need to be edited.
